The Event is Almost Here

Long- and short-term planning is essential to a successful event. The information below serves as a guideline for important details to consider shortly before your event.

  • If you have decided to send out invitations, they should be sent out three to four weeks in advance of the event. Collect and track RSVPs from the invitation mailing.
  • The person designated as the main contact for the event should double-check with teammates and vendors regarding event day-of responsibilities (signage, easels, microphones, flier distribution, etc.)
  • Complete all elements identified in the event needs list, including proofreading and printing the program, submitting ads to publications, etc.
  • Finalize the event press release with the SEAS marketing communications team. The release should be distributed one to two weeks before the event is to take place.
  • Revisit the budget to ensure that you are on track with expenses.
  • Reconfirm all the details surrounding the event, including placement of tables, tents, podiums, transportations, etc.
