I would like to change my direct deposit to a different bank. What should I do?
Fill out a direct deposit form (available at the office or here [PDF]) with a voided check or deposit slip attached to it. Leave the old bank account open until your paychecks start depositing into the new account (this may take two pay periods). Then, if you wish, you may close the old account.
I don't have a bank account open. / I forgot my check or deposit slip.
Direct deposit is mandatory, but you can turn in your direct deposit form at a later date ASAP. If you do not meet the deadline, your paycheck will be waiting to be picked up at the payroll office in South Michie (next to Carruthers Hall).
I see that my paycheck isn't depositing into my bank account. Where's my money?
First, check your earnings statement: if it doesn't have your bank's name, call 434.924.4361 to find out if your paycheck is at the payroll office at South Michie (next to Carruthers Hall). If you are still in need of assistance afterwards, contact your payroll administrator.
What if I'm an out-of-state student? Do I have to fill out a VA tax form?
If you pay taxes for your home state, you are free to exempt yourself from Virginia taxes. It is up to you whether to pay VA taxes or not. However, you are liable to pay VA taxes due to earning VA monies.
What if I'm a Foreign National student? Do I have to fill out tax forms?
Foreign National students must see Andy Meade, a tax specialist, to fill out the federal and Virginia tax forms--please do not fill out the forms without his assistance due to tax treaties with different country.
Why isn't anyone around to assist me with payroll documents or questions?
The administrators are unable to help because they have to meet payroll deadlines and need your cooperation. We ask if you can please return at a later date.
Who uses the timesheets?
Hourly-wage workers are paid bi-weekly and use the bi-weekly timesheets. Tutors and graders have their own bi-weekly timesheets--please be sure to use what is specified for you. GRAs/GTAs do not use timesheets.
Where do I or who do I turn my timesheets in to or at?
This is the link to find who is your department timekeeper to whom you turn in your timesheets: http://www.seas.virginia.edu/budget/hourly/timekeepers.php
If I have missed the pay period that I should have turned in a timesheet, what should I do?
You can fill out a blank timesheet [PDF] and submit it to your timekeeper (please handprint the pay period after you print it out).
Do I get paid if my departmental payroll documents didn't meet the deadline?
GRAs/GTAs will be paid retroactively--you will just not receive pay for that pay period on its paydate.
I am a GRA/GTA--am I then an employee of the University?
For payroll purposes, you are a student, and for tax purposes, you are an employee. But for all intents and puposes, you are considered a student.
