Procedures

These are instructions for students who will be tutoring.

  • In order to put you on the UVA payroll you must see Phyllis M. Bibb in the SEAS HR/Payroll Office, Thornton Hall A205, by (or preferably before) your first day of work. She will have you complete all necessary paperwork, and provide you with information concerning how to submit your timesheet using the Self-Servie Online System.

    Until you have checked with Barbara Dudley (she is the one who coordinates the tutors) and have completed the paperwork, you will not receive a check. Timesheets should be submitted bi-weekly using the Self-Servie Online System. If you are already on UVA payroll, Ms. Bibb will still need to verify that your tax forms are accurate).   • If you are a U.S. resident, you will need to have your original Social Security card and driver's license. International students will need a passport and I-20. Permit residents will need the green card. Ms. Bibb will make copies of these documents.

  • Let the instructor know you will be tutoring for their course(s). Obtain a syllabus with test and homework schedules. Borrow a textbook if you do not have one. Ask the instructor to announce your tutoring schedule in class. Maintain close contact with the instructor(s) and TAs for the course by meeting with them at least 5 minutes each week. Keep the instructor informed of students who need extra attention and of topics that are causing the students difficulty. Be aware of upcoming tests that may require additional tutoring availability. Knowing that these visits to the professor takes time, the Dean's Office will pay you the equivalent of one hour total. Please record this hour on your online self-service time sheet and save it using the a href="http://www.hrs.virginia.edu/online/PaySlip/PaySlipHome.htm">Online Self-Servie System.

  • Make an announcement in your tutoring session that the tutoring schedule is also posted at http://www.seas.virginia.edu/admin/diversity/undergrad/tutor.php . This will reflect any changes to the tutoring schedule such as room assignments, additional tutor sessions, etc.

  • Be reliable by keeping your scheduled time! If you cannot keep to the schedule, try to make arrangements with another tutor who has been approved by Dean Berger for that course, to switch with you. No one should be tutoring who has not been approved as a tutor for this semester. You must notify Barbara Dudley (bic2w@virginia.edu, 4-3310) as soon as possible of any changes or cancellations. If you cannot switch with someone, I will inform the professor(s) that you will not be available for your regularly scheduled time. A note will also be posted outside the room where you tutor.

  • Roll sheets must be maintained for each tutoring session. If there is no attendance, please indicate this on the roll sheet for that particular day. Return to Thornton Hall A126, along with your time sheet.
