The Event is Almost Here

Long- and short-term planning is essential to a successful event. The information below serves as a guideline for important details to consider shortly before your event.

If you have decided to send out invitations, they should be sent out three to four weeks in advance of the event. Collect and track RSVPs from the invitation mailing.

The person designated as the main contact for the event should double-check with teammates and vendors regarding event day-of responsibilities (signage, easels, microphones, flier distribution, etc.)

Complete all elements identified in the event needs list, including proofreading and printing the program, submitting ads to publications, etc.

Finalize the event press release with the SEAS marketing communications team. The release should be distributed one to two weeks before the event is to take place.

Revisit the budget to ensure that you are on track with expenses.

Reconfirm all the details surrounding the event, including placement of tables, tents, podiums, transportations, etc.
